4 Power Tips & “How-To’s” From Experts for Effective Project Management

To get things done, project management is essential. To get things done well, effective project management is vital.

Aluminium projects are no different.

We sourced the following suggestions from some of the most experienced people in project management roles in a dedicated LinkedIn project management group. This article is based on those tips, which were originally published by Wrike.

1: Become an expert communicator

Since project management is about managing people, it’s really about relationships, and to build good ones, you need to be an exceptional communicator. Here are practical suggestions to enhance your communication skills:

Learn about different cultures. In South Africa especially, we have so many different cultures and it’s easy to misinterpret behaviour if you don’t understand how others have been brought up and what their values are.  

Stay teachable. Leaders are vulnerable to getting puffed up, but when they stay teachable, listening and absorbing the feedback from people who report to them, they will learn more for their aluminium project than they could learn from another source. When you are open to hearing the opinions and thoughts of others, you discover more.

Communicate changes quickly. When changes need to be made, consider all the people it will impact and be sure to let them know fast because you may not realise how the change impacts their roles.

Make sure everyone is on the same page. Take notes about everything that can impact others. Create a system to easily keep everyone up to speed.

Be transparent. Make sure you treat everyone in the team as a valued, trusted team member. Be honest and transparent.  Don’t be afraid to communicate problems, bottlenecks, risks and challenges. Have the belief that others are just as committed to the project as you are.

Never gossip about a team member. Want to break team trust rapidly? Just gossip about someone who is on the team. Even better, give someone the showdown in front of others to instantly break trust. Rather take the offender aside and discuss any issues with them face to face, in private, with the aim to finding a solution.

Respect everyone’s opinions equally. You may not agree with them, but every person deserves to be heard and their opinion considered. Be the example and train the team to treat everyone with honour and respect.

Admit to not knowing everything. There are other people in the team that are there for a reason. Each person has something to contribute that you can’t provide. Ask them questions. Understand that you were hired to lead supplier projects, but they are on board because they are experts at what they do. Challenge the norm to improve ideas. If you’re not technical, ask for clarification.

2: If you’re a leader, BE a leader

Leading others as a project manager is not an easy job. Some people are put into leadership positions and they just don’t know how to lead. So be a leader. Here’s how:

Hone your soft skills. Many people, especially in technical companies, are put into leadership positions because of their skills and knowledge, but this does not make them a great leader. You need soft skills to excel in project management, especially with aluminium projects, in order to get the most out of team members and to keep them motivated.

People first. Yes, you have to do the paperwork and planning, but your team members are more important and must take priority over documentation.

Build trust. Find out more about how to develop trust between yourself and your team. Once trust is achieved, it opens up doors to openness, and this can make all the difference to a project’s success.

Celebrate victory. Always remember that success is not achieved by one, but by your team, so celebrate wins with them. Take them for pizza, do something out of the ordinary to make them feel appreciated.

3: Clarify roles from the start

People can only give their best when they know what’s expected of them. Make sure that every team member has clarity about why they are on the team, and how their work contributes to the aim of the project. Here are more ideas:

First understand your own role. Understand your objectives and your mission, as well as your level of authority. In addition to understanding your role, also know who key stakeholders are and how much influence they hold.

Find out the health of the project daily. Hambirrao Patil suggests following the RACI model as it helps define roles and responsibilities. Once those are identified, match them up with processes:

R- Who is Responsible to do the work  

A- Who is Accountable for final decisions and ultimate ownership  

C- Who is Consulted before a decision or action is taken  

I- Who is Informed that the decision or action has been taken  

4: Manage, don’t just plan

Those in project management roles love plans, but successful projects need good management:

Allow reality to drive the schedule. Don’t allow the schedule to drive the realness of the project. Project management is less about keeping your finger on the Gantt chart than it is about handling people and problems.

Be whole sighted. Keep your eyes on the objectives of the projects, so that you can achieve the purpose of the project in the shortest frame of time. Take your eyes off the planning and keep them planted on the mission.
